Frequently asked questions

What counts as a "chatbot conversation"?
A conversation is one continuous session between a resident and the chatbot. It can include multiple messages back and forth. A resident asking 5 follow-up questions in one session counts as one conversation. Conversations that are resolved from the knowledge base without staff involvement are counted at a lower rate.
Can I start on a lower tier and upgrade later?
Yes. You can upgrade your tier at any time. You'll only pay the difference pro-rated to your renewal date. Your knowledge base, staff accounts, and all data carry over automatically — no migration needed.
What does "setup" include?
The one-time setup fee covers WordPress plugin installation and configuration, initial WordPress content indexing into the knowledge base, connection to your 311 CRM or other systems (tier-dependent), staff training session, and chatbot appearance customization to match your city branding.
Is there a contract?
No long-term contract required. Plans are billed annually, and you can cancel before renewal. We're confident you'll see value quickly, so we don't lock you in.
Do you offer a trial?
We offer a guided demo on your actual WordPress environment rather than a generic sandbox. This gives you a much more accurate picture of how Viv KM will work for your specific city. Book a demo and we'll set it up for you.
What happens to our data if we cancel?
You keep everything. All knowledge base articles, inquiry history, and staff data are exportable as CSV at any time. We provide a complete export upon cancellation. Your WordPress site continues to function normally — we just deactivate the plugin.
